Title: CAP Chapter Coordinator (CAP-CC)  

Supervisor Title: Collegiate District Director – CAP (CDD-CAP) 

Position Status:  Volunteer, two-year appointment  

Position Summary:  Works under the direction of the collegiate district director – CAP to oversee the progress and day-to-day needs of assigned chapter advancement program (CAP) chapter(s) in all areas of chapter management; CAP chapter coordinator supports their assigned chapter advisory board and may also be assigned to support specific focus areas for multiple CAP chapters (ie: operations, retention, new member education, etc.); partners with the rest of the CAP volunteer team to support chapters during their time on the CAP. 

 Qualifications: 

  • Initiated member of Sigma Kappa Sorority 

  • Experience working with undergraduates and/or chapter/association advising 

  • Prior experience and/or familiarity with collegiate management 

  • Prior experience supporting a chapter in conjunction with volunteers and NHQ staff, preferred    

  • Strong written and oral communication skills, customer service skills, organizational and delegation skills, time and project management, attention to detail, and interpersonal/relationship building skills 

Responsibilities: 

  • Participates in the CAP onboarding and offboarding process and facilitates communication with chapters as they transition to and from CAP  

  • Conducts evaluation of the advisory board upon the transition to CAP in collaboration with the volunteer training coordinator (VTC) 

  • Supervises advisory board supervisor (ABS) of assigned chapter/s, provides regular support to ABS through communication, biweekly touchpoints, etc.  

  • If ABS role is vacant, will serve as interim ABS for the chapter; works with VTC to recruit and train a new ABS for the chapter 

  • Collaborates with CAP recruitment coordinator (RC-CAP) of assigned chapter/s through monthly touchpoints regarding collegiate management issues that are impacting recruitment efforts and overall progress on CAP goals 

  • Attends CAP Monthly Calls to provide updates to the CAP volunteer and staff team 

  • Collaborates with CAP team members to develop goals and strategic focus for the chapter during their time on the program; monitors the chapter’s progress toward these goals and reports on progress and barriers monthly through team-wide calls and reporting documents  

  • Communicates regularly with CAP team members with specific attention to chapter statistics including membership statistics, membership status changes, meeting minutes, and other operational paperwork  

  • Provides immediate support, if necessary, alongside CDD-CAP and risk management coordinator – CAP (RMC-CAP), to the chapter as related to crisis management and navigating interpersonal interactions or conflicts that arise 

  • Oversees strategic retention and membership experience efforts of the chapter in partnership with the CAP recruitment coordinator 

  • Understands and follows the provisions of the Sigma Kappa Bylaws, National Policy Handbook, Ritual book and other national resources 

  • Immediately reports the suspicion or occurrence of all risk management policy violations to the risk hotline (888-877-7576) and provides support in any investigations or follow up 

  • Reviews all visit reports, by staff or volunteers, and responds and follows up as necessary; works with NHQ staff and collegiate volunteers to address chapter needs and concerns

  • Maintains positive public relations within the Sorority, among all Sorority entities, other NPC, NPHC, MGC and NIC groups, university officials, vendors, and others. 

  • Follows national policies and procedures and abides by local house/suite rules when visiting collegiate chapter facilities. 

  • Promotes a sense of national pride in Sigma Kappa and a strong sisterhood in all related interactions. 

  • Completes all required training and onboarding and participates in additional training opportunities offered to national volunteers. 

  • Attends the Summit for Volunteers annually. 

  • Attends national convention in even-numbered years. 

  • Per the National Policy Handbook, all national officers shall pay alumnae dues either to a local alumnae chapter or directly to national headquarters. 

  • All national officers are encouraged to make an annual financial contribution and/or planned gift to the Sigma Kappa Foundation in accordance with the National Policy Handbook. 

  • Performs other duties as assigned by the collegiate district director or collegiate support manager. 

  • Fosters an environment where members are welcomed, valued for who they are, and treated with respect. 

 Technical/Computer Skills:  

  • Ability to effectively use email and Microsoft Office software programs, including a strong understanding of Microsoft Teams and Zoom.  

  • Ability and willingness to effectively use other position-related technology tools   

Travel Requirements:  

  • ~5-10 days annually, 10% weekdays, 90% weekends  

  • Travels to assigned chapter once a year and on an as-needed basis, pending availability and chapter needs, at the approval of the CDD-CAP 

  • National convention: four days in even years, with travel (volunteers are responsible for paying the registration fee) 

Optional Travel:  

  •  Summit for Collegiate Leadership: three days annually, including travel (if apply and selected as a facilitator) 

Time Commitment:  

15-20 hours per week when not traveling 

  • Participate in regular calls with supervisor and/or national headquarters staff  

  • Participate in regular calls with volunteer team 

  • Participate in regular calls for CAP chapters as outlined by the collegiate district director – CAP 

Volunteer Environment:   

  • This position requires working independently as well as part of a team.   

  • This position requires frequent verbal and face-to-face contact with others. Frequent use of a computer, general office equipment, and/or personal device (e.g., cell phone, tablet) is necessary.
