                  Title: Director of Alumnae Chapter Management 

  Staff Manager: Alumnae Engagement Specialist 

Position Status: Volunteer, two-year appointment  

 

Position Summary: The director of alumnae chapter management (DACM) oversees all matters concerning the function of alumnae chapter management and strategic goals; supervises, guides, and assists the alumnae district directors (ADDs) in their work to set and attain goals.  

 

Qualifications: 

  • Initiated member of Sigma Kappa Sorority 

  • Experience working with alumnae chapters and/or life skills that relate to the position summary  

  • Prior experience and/or familiarity with alumnae chapter management and operations 

  • Strong written and oral communication skills, customer service skills, organizational and delegation skills, time and project management, attention to detail, and interpersonal/relationship building skills 

 

Responsibilities: 

  • Coordinates chapter management efforts of ADDs and serves as an additional resource for alumnae officers 

  • Encourages growth of alumnae chapter membership by providing alumnae chapter recruitment resources and promoting the alumnae initiate program 

  • Receives, acknowledges, and maintains alumnae chapter reports, correspondence, etc. and creates and/or provides additional resources, as needed 

  • Maintains repository of successful alumnae chapter ideas, events, and programs to share with ADDs and alumnae chapter officers 

  • Identifies programming and training needs of alumnae chapters and alumnae chapter officers and communicates those needs to staff 

  • Collaborates with the alumnae staff team to monitor convention allowance eligibility for alumnae chapters and encourages alumnae chapters to stay in compliance with eligibility requirements 

  • Works directly with a small (3-6) group of alumnae chapters identified by the ACM team as needing additional, specialized support 

  • Serves as interim ADD(s) during volunteer vacancies 

  • Serves as the subject matter expert during ADD interviews 

  • Participates in calls with national officers, team members and/or staff as necessary 

 

Expectations  

  • Consistently demonstrates through words, actions and interactions, alignment with the Sorority’s values, strategic direction and commitment to diversity, equity, inclusion and access (DEIA), focusing on the success of the organization  

  • Exhibits a positive, problem-solving mindset and a spirit of teamwork and cooperation   

  • Maintains and develops materials and procedure files as appropriate to the position  

  • Maintains high professional and personal standards  

  • Promotes the ongoing development of a service rapport with collegiate chapters, local and national volunteers, headquarters staff and all members of the Sorority  

  • Maintains positive public relations within the Sorority, among all Sorority entities, other NPC, NPHC, MGC and NIC groups, university officials, vendors and others  

  • Follows national policies and procedures and abides by the local house/suite rules in the case of visiting collegiate chapter facilities 

  • Promotes a sense of national pride in Sigma Kappa and a strong sisterhood in all related interactions 

  • Attends national convention (even years) and participates in other training(s) offered to national volunteers. Failure to complete required onboarding and training could result in the withholding of a convention allowance or potential removal from position    

  • Required attendance at the Summit for Volunteers (annually) Failure to complete required onboarding and training could result in the withholding of a convention allowance (even years) or potential removal from position    

  • Per the National Policy Handbook (NPH), all national officers shall pay alumnae dues either to a local alumnae chapter or directly to national headquarters. 

  • All national officers are encouraged to make an annual financial contribution and/or planned gift to the Sigma Kappa Foundation per the National Policy Handbook  

  • Perform other duties as may be prescribed by the alumnae engagement specialist or director of alumnae engagement of Sigma Kappa Sorority  

  • Foster an environment where members are welcomed, valued for who they are, and everyone is treated with respect. 
     

Technical/Computer Skills:  

  • Ability to effectively use email and Microsoft Office software programs, including a strong understanding of Microsoft Teams and Zoom.  

  • Ability and willingness to effectively use other position-related technology tools   

 

Travel Requirements:   

  • 3-4 days annually, 10% weekdays, 90% weekends  

  • National convention: four days in even years, with travel (responsible for paying convention registration fee)  

 

Optional Travel:   

  • Summit for Collegiate Leadership: three days annually, including travel (if selected as a facilitator, via the application process)  
     

Time Commitment:  

~25 hours per month  

  • Participate in quarterly volunteer director calls (one-two hours) and other calls, as needed 

  • Participate in regular calls with national headquarters staff  

  • Lead monthly calls with alumnae volunteer team 

  • Respond to email and Teams notifications within two business days 

 

Volunteer Environment:   

  • This position requires working independently as well as part of a team.   

  • This position requires frequent verbal and face-to-face contact with others. Frequent use of a computer, general office equipment, and/or personal device (e.g., cell phone, tablet) is necessary.   

  • The position requires appropriate confidentiality and discretion.
